Scheduling Policy: FAQ
Frequently Asked Questions and Helpful Answers
Why does TLC rely on written communication?
Verbal and email communication with any staff member, sticky notes, phone calls, texts, and telepathic communication is not considered final. We MUST centralize all communication regarding these large changes. Reliance on memory or "Whisper down the lane" just are not effective and miscommunication and misunderstanding between all involved easily happens!
:) Please note: All good intentions aside..... just don't rely on Maria remembering scheduling conversations. :) It wouldn't be easy for anyone to keep track of 78 family schedules. :) We are taking that point of contact out of the mix! :)
Who is my main contact for scheduling?
Individual Appointments (Up to 3 hours): Your child's Clinician
Large or permanent changes (More than 3 hours, change of days, or reduction of hours): Online form. We will contact you within 72 hours to confirm changes.http://therapeuticliteracycenter.com/scheduling/
Why does my invoice look different this month?
Your memorized invoice should look the same as per consistent monthly hours within a 20 day month. A second invoice/charge is made for appointments when your regular weekly schedule lands in the 5th week of the longer months.
Why is it important for parents to check Acuity?
We live and breathe by Acuity. Acuity is a centralized communication between you, your clinician and billing and is available to everyone 24/7 for your convenience. If you are in Acuity for an appointment, your clinician is here and you will be charged. If you are not in Acuity on a particular day and you arrive at TLC, you will not have a clinician and you will not have been charged.
What if my child misses a session at the end of the month because he/she is sick or is unable to attend and I can’t reschedule?
Regular policy applies. You may reschedule up to three hours within the month as per availability. Unfortunately, like any other service (such as gymnastics, karate or other after school activities), if you are unable to reschedule, that appointment forfeited.
But please remember that because availability is limited, any/all rescheduled appointments might not be with your primary clinician and may have to occur during school hours or on weekends.
Why can’t I reschedule an appointment into the next month?
All reschedules must be within the same month. Your tuition has paid for your clinician to be here during your regularly scheduled time slot in that month. If you move an appointment into the next month, Acuity will charge you for what looks like an additional appointment. You will be charged for the same appointment twice. (No refunds or credits are given.)
What happens if I attempt to reschedule or add an appointment into the next month?
If you move an appointment into the next month, Acuity will charge you for what looks like an additional appointment. You will be charged for the same appointment twice. (No refunds or credits are given.)
Why can’t I reschedule an already rescheduled appointment?
We do not allow rescheduled appointments to be rescheduled again. Your clinician has already been paid for both the original appointment and the rescheduled appointment. If you reschedule that appointment again, the cost of paying the clinician a 3rd time is over the amount you have paid for the session and TLC is put in the red for that session.
Why can I only reschedule 3 hours per month?
On the clinical side: we are committed to keeping your student’s therapy consistent. Inconsistent appointments slow progress.
On the financial side of things: your clinician has already been paid for the original appointment. Though we try to be cognizant of changes in life schedules, all rescheduled appointments are at a cost to the company. We are really only able to handle the cost of three hours without your monthly tuition taking TLC into the red.
What do I do when I need to change my regular scheduled days or reduce hours?
Changing more than 3 hours within a month and reduction of hours are considered a large or permanent change. These changes must be confirmed by the 15th of every month before changes take place. Any changes need to be made using our online form for the purposes of centralizing all communication regarding these changes.
**The ONLINE FORM is REQUIRED for all permanent changes before the 15th of the month prior to taking effect.
We must centralize all large and permanent changes. Email and verbal communication with any staff member, sticky notes, phone calls, texts, and telepathic communication is not considered final and you will be charged.
